1) Who we are

Prep NCET (“we”, “our”, “us”) is an IIT-student initiative helping candidates prepare for the NCET (ITEP) entrance. Our website is prepncet.com and our learning platform runs at prepncet.com/courses (Moodle). We offer free videos, guidance, mock tests, and courses (free and paid).

2) Scope

This policy explains how we collect, use, share, and protect your personal data when you use:

  • prepncet.com ( WooCommerce),
  • prepncet.com/courses (Moodle),
  • our YouTube content and embeds,
  • our WhatsApp/business communication,
  • our payment flows (e.g., Razorpay) and email notifications.

This policy applies to learners, purchasers, and site visitors. By using our services, you agree to this policy.

3) Personal data we collect

We collect the following categories:

Account & Profile
Name, email, mobile number, password (hashed), username. If you sign up/purchase on prepncet.com, we may automatically create a linked learning account on prepncet.com/courses.

Learning & Course Data
Course enrollments, completions, quiz attempts, mock test scores, feedback you submit, time spent and activity logs (within Moodle).

Purchase & Billing
Order details, invoices, address (if provided), GST fields (if applicable). Payment card and UPI details are processed by our payment gateway(s) (e.g., Razorpay) and never stored in full by us.

Communications
Support emails, contact forms, WhatsApp chats/calls, “Ask a Doubt” submissions.

Device & Usage
IP address, device/browser info, approximate location from IP, cookies, session IDs, referral URLs, pages viewed, error logs.

User-Generated Content
Comments, reviews, forum posts, uploaded files (if enabled).

Marketing Preferences
Your opt-ins/opt-outs for emails or WhatsApp notifications.

Sources: you (when you sign up, checkout, contact us), automated collection (cookies/telemetry), and service providers (e.g., payment gateway success/failure status).

4) How we use your data (purposes & legal bases)

  • Provide services & run the site (create accounts, enroll you in courses, show “My Courses”, deliver content, issue certificates). Legal basis: Performance of contract.
  • Payments & fraud prevention (process orders, verify transactions, prevent abuse). Contract & Legitimate interests.
  • Support & communication (answer queries, WhatsApp/email updates about your orders or courses). Contract & Legitimate interests.
  • Improve & secure (analytics, crash/error logs, A/B tests for UX, capacity planning). Legitimate interests.
  • Legal compliance (tax, accounting, regulatory requests). Legal obligation.
  • Marketing (only if you opt in; unsubscribe anytime). Consent.

5) Sharing & disclosures

We do not sell your personal data. We may share with:

  • Moodle platform (prepncet.com/courses) — to create your learning account, enroll you, and sync progress.
  • Payment processors (e.g., Razorpay) — to process payments securely. They receive only the data necessary for payment.
  • Hosting & infrastructure (e.g., CDN, email delivery/SMTP, backup, error logging) — to keep services reliable and secure.
  • Analytics & embeds (e.g., YouTube) — when you watch embedded videos, YouTube may collect usage under its policies.
  • Messaging providers (WhatsApp Business) — if you contact us on WhatsApp.
  • Professional advisors/Authorities — where required by law or to protect rights, safety, and security.

If our service providers transfer data outside India, we require appropriate safeguards.

6) Cookies & tracking

We use cookies and similar technologies to keep you logged in, remember preferences, analyze usage, and enable cart/checkout. You can control cookies via your browser settings. Blocking some cookies may break features like login, SSO, or checkout.

7) Data retention

We keep data only as long as needed for the purposes above:

  • Account data: for as long as your account is active + up to 24 months of inactivity.
  • Orders & invoices: typically 8 years (tax/compliance).
  • Support messages: 24 months.
  • Server logs/telemetry: 12 months (shorter where possible).
    We may anonymize or aggregate data for analytics.

8) Security

We use TLS encryption in transit, password hashing, access controls, server hardening, and least-privilege principles. No method is 100% secure, but we continually improve safeguards and monitor our systems.

9) Children & students

NCET aspirants are usually 17+. If you are under 18, you should use our services under the guidance or consent of a parent/guardian. If we learn we collected data from a child without appropriate consent, we’ll delete it.

10) Your rights (India — DPDP Act, 2023)

Subject to applicable law, you can:

  • Access the personal data we process about you.
  • Correct/Update inaccurate or incomplete data.
  • Delete data (subject to legal retention obligations).
  • Withdraw consent for optional communications.
  • Grievance redressal — contact our Grievance Officer (below).
  • Nominate another person to exercise your rights in case of incapacity (write to us to record a nomination).

We will verify your identity before acting on requests. Some requests may be limited by legal or contractual obligations.

We aim to respond within 7 working days and resolve within 30 days where feasible.

12) International transfers

Our hosting, email, or payment processors may store/process data outside India. We use vendors with appropriate contractual and technical safeguards.

13) Third-party links & embeds

Our site may link to external sites or embed content (e.g., YouTube). Their privacy practices are governed by their own policies. Please review them before use.

14) Changes to this policy

We may update this policy to reflect changes in law or our services. We’ll post the updated version with a new “Effective date”. Significant changes may be notified on-site or via email.

Short version (plain-English summary)

  • We use your data to run your account, enroll you, and deliver mock tests/courses.
  • Payments go through a secure gateway; we don’t store full card/UPI details.
  • We sync accounts between WordPress and Moodle for SSO.
  • You can access, correct, delete, or complain via hello@prepncet.com.
  • We don’t sell data, and we strive to keep it secure.
